Zebra Ledger · 511 Cumberland St, Westfield, NJ

not a back office — a ledger your clinic can read

Outsourced bookkeeping hides the numbers behind a portal. We reconcile your bank and card accounts by hand, run payroll on your pay calendar, and write the quarter up in plain English — for independent veterinary practices, at one flat fee per engagement.

  • The fee is in writing before we open a statement
  • Independent practices only
  • Weekdays 10am–5pm

The path of an engagement

the clinic year, kept in order

Five milestones, in the order a practice actually feels them: catch-up first, then the monthly rhythm, then payday, then the quarter, then January. Take one, or walk the whole rail.

  1. Weeks 1–3

    Cleanup project

Every account reconciled back to the first month that refuses to tie, then a one-page list of what’s left.

    From $1,840
  2. Done by the 10th

    Monthly keep

Bank and card reconciliations, with PIMS deposits matched line by line against what hit the account.

    $640 a month
  3. Every payday

    Payroll

Set up once, then run on your pay calendar with NJ withholding and the WR-30 and NJ-927 filings tracked.

    $385 setup · $96 a month
  4. Each quarter-end

    Quarterly close

Three months locked, a P&L by service line, a balance sheet, and a note you can read in five minutes.

    $1,270 a quarter
  5. January

    Year-end handoff

W-2s, 1099s for relief vets, and a tidy folder for your CPA. We don’t file returns; we hand over a clean year.

Before the first call

what to put on the desk before we talk

Nine slips of paper, give or take. Bring what you have — we’ll chase the rest from the bank and your software ourselves.

  • aTwelve months of bank statements
  • bCredit card statements, every card
  • cYour PIMS daily-close export — Cornerstone, AVImark, ezyVet, Shepherd
  • dLast payroll register and NJ-927 filings
  • eEquipment loans & leases — the digital X-ray, the autoclave
  • fRelief-vet and locum invoices
  • gDistributor account statements
  • hCareCredit and Scratchpay payout reports
  • iView-only login to your current books

Missing a few? Say so on the call. A cleanup quote is built around the gaps, not despite them.

The ledger room

no two zebras wear the same stripes

Double-entry bookkeeping was written down in Venice in 1494. It is older than the stethoscope by more than three centuries, and it still does the one thing a clinic owner needs from it: shows, line by line, where the money went.

Zebra Ledger keeps that discipline for independent veterinary practices. Every clinic earns differently — a wellness-plan general practice, a dental-and-surgery referral shop, a mixed-animal route with a truck — so every set of books gets its own chart of accounts, cut to how your practice really bills.

We work from a room on Cumberland Street in Westfield. The pace is deliberate: statements read against the ledger twice, questions batched into one short list, the quarter closed before the next one starts.

“A clean set of books is a kindness to whoever inherits the practice.”House rule, Zebra Ledger

questions owners ask first

Can you work inside the books I already have?

Yes. If they live in QuickBooks Online, we ask for a view-only login first, read before we touch anything, and tell you what we’d change before we change it.

What does a flat fee actually cover?

The quote names the accounts, the months, and the number of staff. Inside that scope, the price doesn’t move. Outside it, we ask first.

How long until my books are caught up?

A cleanup usually takes two to three weeks once the statements are in. A year or more of missing months takes longer, and the quote says so up front.

Do you take on corporate-owned groups?

No. We work with independent practices: one owner, a partnership, a few associates. That’s the only kind of clinic we learn deeply.

Will you prepare my tax return?

No. We hand your CPA a reconciled year and a clean folder; they file. Most CPAs bill less for it.
